OmniFit operates under OmniFit Performance LLC (formerly JJ4E LLC), based in San Diego, California (4S Ranch). We provide personal training, nutritional coaching, and online fitness programs for professionals and clients nationwide.

Information We Collect

We may collect the following information when you contact or work with us:

• Name, phone number, and email address
• Demographic information such as location or interests
• Fitness, health, and lifestyle details that you choose to share
• Payment and billing information (processed securely through Stripe, Klarna, or Affirm)
• Website usage data through Google Analytics 4 and Microsoft Clarity

Health Information Collected at Intake

When you become a client, we collect health information at intake and at your Performance Assessment. This can include your health and injury history, surgeries, medications and conditions that affect training, your goals and lifestyle habits, and the measurements taken at your assessment and reassessments, such as body composition, blood pressure, SpO2, grip strength, posture photos and circumference measurements.

We collect it so we can program your training safely and track your progress against your own baseline. OmniFit is not a medical provider and does not use this information to diagnose or treat any condition.

Your coach sees it. We share it with a partner provider, such as a physical therapist, only with your written permission. It is stored in the coaching and forms platforms listed under Sharing Information, and kept for the period described under Data Retention.

How We Use Your Information

We use your information to:

• Provide personalized training and coaching services
• Respond to inquiries, schedule consultations, and manage accounts
• Process payments and maintain records
• Improve our website, content, and client experience
• Send educational updates or promotional offers (only if you opt in)

Data Storage and Security

We keep your data secure with encryption and password protection. Trainer data is managed through Trainerize, which follows international data protection standards. We never sell or rent your personal information to third parties.

Cookies and Analytics

Our website uses cookies to understand how visitors use the site and improve performance. Cookies may track pages visited, time spent on site, and browser type. You can disable cookies in your browser settings at any time. We also use Google Analytics 4 for anonymous traffic and usage data, and Microsoft Clarity for session analytics with form fields masked; Clarity is not used on the Fit Check.

Sharing Information

We only share data with trusted partners who help us operate our business, such as:

• Payment processors (Stripe, Klarna, Affirm)
• HSA/FSA payments (Truemed), only if you choose to pay with HSA or FSA funds: Truemed handles the Letter of Medical Necessity process with a licensed provider, and we share only the details that process needs
• Booking (Calendly)
• Coaching platforms (Trainerize)
• Forms and email (HubSpot, Jotform)
• Hosting (Cloudflare)
• The website's AI assistant (Anthropic), as described under AI Assistant

These partners are required to protect your data and use it only for agreed purposes.

AI Assistant

The "Ask OmniFit" assistant on this website is an AI that answers questions from OmniFit's published pricing and policies. Messages you send it are processed by Anthropic, the provider of the AI model, to generate a reply.

We log each conversation (your message, the reply, the page you were on and a random conversation ID) to improve the assistant's answers. Logs are kept without contact details: email addresses and phone numbers are removed before a message is stored, and we do not store your IP address. Logs are deleted after 90 days. Please don't share medical details with the assistant; to discuss your health or training history, book a consultation.

Your Rights

Depending on your location, you may have the right to:

• Access or request a copy of your data
• Correct inaccurate information
• Request deletion of your personal data
• Withdraw consent for marketing communications

If you live in California, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), gives you the right to:

• Know what personal information we collect, use and disclose, and why

• Request that we delete your personal information, subject to records we are required by law to keep
• Request that we correct inaccurate personal information
• Opt out of the sale or sharing of your personal information
• Limit the use of sensitive personal information, such as health information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We use Google Analytics 4 and Microsoft Clarity to measure how this website is used; we do not run advertising tags on this site. We use sensitive personal information, such as health information, only to provide the services you ask for.

We will verify your identity before acting on a request, usually by confirming details we already hold about you, and we respond within 45 days, as the law requires. You may use an authorized agent to make a request on your behalf; we will ask for proof that the agent is authorized. We will not discriminate against you for exercising any of these rights.

Data Retention

We keep client records, including health information and payment records, for as long as you are a client and up to 7 years after, for records required by law. After that, your data is securely deleted or anonymized.

Our website may include links to external sites such as Instagram, LinkedIn, or Trainerize. We are not responsible for the privacy practices of those websites.

Updates to This Policy

OmniFit may update this Privacy Policy periodically. The latest version will always appear on this page. Continued use of our website means you accept any updates.
